Hello friends! HAPPY NEW YEAR. First blog post of the new year.. YIPPY! I thought I would share some pretty detailed information about what I and other wedding planners do. If you've just got engaged over the holidays, congratulations! Pull up a chair and a cozy blanket because this info is definitely going to be useful for you when you're thinking if a wedding planner is the right choice for you.
Wedding planners, coordinators, venue coordinators, designers and so on all have very important roles in your wedding with the overall execution of the event and how smoothly it runs. These vendors can make or break your wedding, so choosing which one is a right fit for you entails a little bit of time and research. As a wedding planner I am often asked what makes me different from the maid of honour, the mother in law or the aunt who really loves to plan a good party and without offending those lovely members of your life, they are more likely to break your wedding if you just hand it over when they aren't fully experienced in weddings.
Wedding planners are educated in weddings and have many events under their belts so they know a little more than your favourite aunt who planned her own wedding many years ago. Planning your own wedding and planning someone else's wedding are two very very different things, trust me! You handle someone else's wedding differently than you do your own so having a neutral person who has planned many events on your side is half the battle.
Without going into too much detail of what each wedding vendor does or does not do, I will share what I and most other wedding planners do.
You must have a budget, otherwise your wedding will go off the deep end. Believe me, when I first thought about my own wedding I had a very small budget in mind...by the end of my wedding it had quadrupled because we didn't set a budget and that good old Pinterest spiralled me into a crazy person. Absolute crazy face. Your wedding planner will help you create and stick to your budget and guide you to the right wedding professionals based on that budget.
Wedding planners work with many professionals in the industry, some they trust and some they don't. We can give you honest reccomendations for florists, bridal boutiques, linen and decor rental companies, even certain venues that will go to bat for their clients if the venue DJ isn't cooperative with your guests. We will never ever bad mouth any professionals, we will just guide you to a more suitable option if we feel someone may not be the right fit. Along with vendor referrals we will also be the go to person instead of you and as my husband would agree, last minute confirmations, scheduling, and everything in between is not something you will want to deal with the week of your wedding. It's NOT fun when your tux rental bow ties come in and they are all child sized.
If you've hired a stellar wedding planner, he/she will offer some really helpful tools when you sign on such as budget excel sheets, guest + rsvp trackers, seating chart PDFS, wedding checklists or itinerary cards for your bridal party. These are crucial to keeping you on track and relatively calm. These tools come in handy when you start feeling the pressure at 6 months in and can't remember if you started your invitations or ordered your bridesmaids dresses. Your planner will send you reminders and make sure nothing is left too late. You do not want to be paying more for something because it slipped your mind.
Knowing who will be in charge of your decor set up is a big key factor in most couples decision to hire a wedding planner. A planner knows what you want and has a good idea of what you don't. You won't have time to set up 150 folded napkins nor will you want to on your wedding day. Your planner will be the one to look after your gifts as well in most cases. When your lighting rental has a strand of bulbs out, your planner will be the first to notice and have them fixed or replaced before you even notice especially when their husband is an electrician ;)
REHEARSAL | WEDDING COORDINATION
When the time comes to attend your rehearsal you're head might be spinning with details, colour palettes and trying to get in enough sleep all while DIY'ing a million little things. This is where a wedding planner can take over the what's what and who goes where so you can relax and enjoy the last few days of your engagement. You might not know at what pace to walk with the song you've chosen, where to look for that perfect photo and how clearly you should be saying your vows, however hard it will be through all those happy tears. Your planner will know it all to ensure no one is lost on the wedding day. The wedding planner will also be the one to make sure your guests sit at the right tables, put all the place cards in their appropriate spots, and setting up your guestbook table just so. These details are a big part of why you hire us, so you can spend every minute of your wedding day looking beautiful and sharing happy moments with your fiancé because it's over before you know it.
There are many more things that we do but these are some pretty important tasks that we are happy to handle for you. We would love to hear what tasks you wished you delegated to a wedding planner or if you're not yet married, what things not listed would you really love help with? XO Happy planning
